Print QR bar code sheets and labels for automatic document separation and indexing

Many document capture systems make use of  bar codes to automatically mark the first page of a document, also referred to as document separation. Bar codes can also be used to automatically associate a unique reference to each scanned document (the value of the bar code) to automate indexing.

A lot of companies have been using Code 39 because it is relatively easy to generate and can be installed as a font. So you can simply “type” it.

  Code 39 was invented in 1974 

Code 39 has some limitations. It can only contain numbers and upper case letters. Only a few special characters are supported but because it dates from before email existed it does not support the @ symbol. To be precise only SPACE, minus (-), period (.), dollar sign ($), slash (/), percent (%) and plus (+) are supported. Anyone who has ever worked with Code 39 fonts has probably experienced how painful it is just to get a space character in the bar code.

Code 39 is also large in size and takes a lot of space on your documents.

QR Code

None of these disadvantages exist with the new 2D bar codes. They are very compact, even more reliable than linear bar codes and can contain any character including any special characters used in languages such as Spanish, Portuguese, French, German, Dutch, Scandinavian and Slavic languages.

Of all the 2D codes, the QR Code has become the most popular type. QR is short for Quick Response. It’s super compact, very reliable and can even be decoded if it’s damaged. Thank to it’s quick response design (the corner squares) it can be located very rapidly by a decoder such as in your phone or by an embedded bar code decoder in your capture software like Kofax Express, Kofax Capture and Kodak Capture Pro.

To give you an idea. “www.capturebites.com” encoded in a QR Code looks like this:

To proof that this tiny QR code indeed contains the complete URL just point your phone to your screen and use your QR decoding software to read it. If you don’t have a QR reader on your smart phone yet, we find the Cognex Barcode Scanners to be excellent. It’s available for iOS and Android:

BUT how do you generate QR Codes? You cannot type them as a font.

There is some QR code generator software available on-line but it’s designed to generate single bar codes containing business card information or URLs. If only a software would exist that is specifically designed to generate QR codes for document management!

1A profile stores all the settings so you can easily recall a bar code profile
2Folder & File name mode allows you to encode a destination path and a sequential file name in the QR code.  The two elements, folder and file name are separated with a semi colon so they are considered as two separate bar codes in Kofax Express. If you just want to encode a sequential file name, you can leave the folder field empty.
3Prefix your sequential file name with whatever you type in this box. With the values in the sample setup on the right, the bar code and content would look like this.
By sticking a folder & file name QR Code label on each document, they actually contains their own unique export path and file name.You can easily use these values to fill out Kofax Express index fields for example and use them in an export connector of choice to define your path and file name.
4The generator is designed to print out label sheets. But it can also be used to print single bar code separators as well by simply defining a label sheet with only one label. The product comes with a predefined layout for that purpose.
5Based on the selected number of label sheets, the first number in the sequence and the number of labels on a sheet it calculates the range of sequential numbers for you.
6In single mode, you can print the bar code directly on the original document. Just enter the sequential number you want to print, put the original in the printer’s feed tray and press Print.
7You can choose between 6 possible locations where to print the bar code on your original.
8Use the “Fixed value mode, if you just want to print out sheets with bar codes with a fixed value to use as a separator. In this mode, the QR code acts as a compact and reliable patch code.
9You can define any label layout. The Bar Code Generator comes pre-configured with a number of popular layouts in both A4 and Letter size as well as a single bar code per sheet layout to print separator sheets.
10Select any windows printer, as the destination printer. You don’t need a special printer, any printer will do. You can also print to PDF for testing or for deferred printing.
11You can preview your label before printing it. The software also checks the density of the information and warns if the QR code contains too much information for reliable scanning with multi functional devices.

About the download and included demo jobs
